Accounting Manager (#25-469)

Position Overview
The Accounting Manager oversees core accounting functions to support accurate financial reporting, timely payments and collections, and compliance with state and federal requirements. This role manages key areas such as accounts payable, accounts receivable, state tax filings, payroll coordination, insurance, and record keeping.
Key Responsibilities
Accounts Payable
Oversee the full cycle of accounts payable.
Verify, code, and process invoices in a timely manner.
Maintain accurate and up to date payable records.
Ensure payments follow company policies and are completed on schedule.
Communicate with vendors to resolve billing or payment inquiries.
Accounts Receivable
Manage incoming payments and maintain accurate receivable records.
Monitor outstanding balances and follow up as needed.
Prepare and distribute regular accounts receivable reports for management and the sales team.
State Tax Compliance
Stay current on state tax regulations.
Prepare, file, and pay state tax obligations accurately and on time.
Maintain organized documentation for all state tax filings and transactions.
Record Keeping
Record financial transactions in an accurate and systematic manner.
Maintain organized financial files and documentation.
Ensure compliance with all relevant record retention requirements.
Payroll and Employee Records
- Payroll processing is managed through Paychex -
Coordinate accurate and timely payroll submission through Paychex.
Maintain records of employee salaries, bonuses, and deductions.
Track employee vacation accruals and related balances.
Maintain confidential employee files with current employment status, benefits, and personal information.
Ensure compliance with privacy laws and internal policies.
Work with insurance providers to keep employee coverage accurate and up to date.
Regulatory Compliance
Stay informed about changes in federal and state laws related to accounting, taxation, and labor.
Ensure the company follows tax requirements, labor regulations, and other financial compliance standards.
Insurance Management
Obtain insurance quotes from the market and prepare comparisons.
Submit recommendations to headquarters for approval.
Maintain required business insurance policies.
Additional Duties
Submit sales tax filings for all states where the company operates.
Serve as the primary contact for external auditors and banking partners.
