 Job duties

Accounts Payable:

Role: Handles the payment of all outstanding invoices and bills on behalf of the company.

Responsibilities:

1.     Verify and process invoices for payment.

2.     Maintain accurate records of all payables.

3.     Ensure payments are made on time and in compliance with company policies.

4.     Communicate with vendors regarding payment-related inquiries. 

Accounts Receivable:

1.     Manages the company's incoming funds and recording and maintain accurate records of receivables.

2.     Provide regular reports on the status of accounts receivable to management and Sale.

State Tax Payment:

Role: Ensures compliance with state tax regulations and facilitates the timely payment of state taxes.

Responsibilities:

1.     Stay informed about state tax laws and regulations.

2.     Calculate and prepare accurate state tax returns.

3.     Submit state tax payments on time.

4.     Keep records of all state tax transactions. 

Record Keeping:

Role: Maintains organized and accurate financial records for the company.

 Responsibilities:

1.     Record all financial transactions in a systematic manner.

2.     Organize and maintain financial files and documentation.

3.     Ensure compliance with record-keeping regulations.

 Employee Records, Salary, Vacation Accounting, and Insurance - Managed Payroll (Outsourced to Paychex):

Role: Manages payroll processes, tracks employee vacations, and oversees employee insurance. However, payroll activities are outsourced to Paychex.

 Responsibilities:

1.     Process payroll accurately and on time through Paychex

2.     Keep records of employee salaries, bonuses, and deductions.

3.     Track and manage employee vacation accruals.

4.     Maintain confidential and accurate employee records.

5.     Update records with changes in employment status, benefits, and personal information.

6.     Ensure compliance with privacy laws and regulations.

7.     Work with insurance providers to ensure employees are enrolled, updated, and eligible for insurance coverage.

 Fulfilling State and Federal Law: 

1.     Stay informed about changes in state and federal laws related to accounting and finance.

2.     Ensure compliance with tax laws, labor laws, and other relevant regulations.

Insurance:

Role: Maintain required insurance for the company.

Responsibilities:

1)     Taking quotes from market.

2)     Making comparative and send to HO for approval.

Submitting sales tax to all states , Dealing with all external auditors, Banker.

 These roles and responsibilities are crucial for maintaining financial stability, compliance, and transparency within a company.
